JOB SUMMARY
The Finance Administration Assistant is part of TPMG’s administrative team and supports day-to-day activities in bookkeeping, payroll-related administration, and general office administration. The focus of this role is on preparatory work, data entry, reconciliations, and document management, while core accounting, financial statements, and group reporting are handled by the central finance team and external advisors.
This position is a part-time role of approximately half days (about 20 hours per week) and requires accuracy, reliability, and strong organizational skills, as well as the ability to work effectively in an international environment. English language skills are required due to the reporting structure and systems of the US parent company.
RESPONSIBILITIES
- Accounting support and payables (supporting role)
- Support day-to-day bookkeeping by entering and checking financial data and assigning supporting documents in line with established processes.
- Maintain and file accounting documentation (invoices, credit notes, bank statements, contracts) and provide complete records to the central finance team and external tax advisors.
- Assist with accounts payable: review incoming invoices for formal correctness, match them to orders/services, obtain internal approvals, and prepare them for further electronic processing.
- Upload invoices, reminders, and related documents into internal systems, including brief notes and coding to cost centers/projects based on given guidelines.
- Support simple reconciliations of open items (for example, clarifying individual differences with vendors or internal stakeholders) in coordination with the central accounting team.
QUALIFICATIONS
- Completed commercial training or equivalent professional experience in accounting, payroll administration, or general office administration.
- Practical experience supporting accounting or accounts payable activities, preferably in a mid-sized or international environment.
- Initial or hands-on experience preparing data for payroll and fee payments (for example, handling time records, maintaining master data, collecting documentation for employees/freelancers).
- Basic understanding of accounting processes (invoice review, coding, simple reconciliations) and willingness to learn group-wide processes and systems.
- Confident use of standard office applications and readiness to work with Group Finance tools; experience in an international reporting environment is a plus but not mandatory.
- Strong attention to detail, reliability, discretion, and a structured way of working, especially when handling confidential financial and personnel information.
- Good German language skills and solid English skills, both written and spoken, for communication with the international finance organization and external providers.
