**Sales Coordinator / Sales Admin**
**Position Summary**
The Sales Coordinator supports the Sales Leadership team and the associated sales organization in day-to-day operations. This role is responsible for proactively organizing and coordinating sales meetings, trainings, and the onboarding of new team members in close collaboration with sales management.
In addition, the Sales Coordinator supports the sales team in the planning and execution of local educational and informational events. A key focus is the coordination of contracts, purchase order processes, and payment handling in compliance with internal policies and applicable compliance requirements.
The Sales Coordinator serves as a central back-office point of contact for the sales team, ensuring smooth operational support and efficient handling of administrative and organizational inquiries.
**Key Responsibilities**
- Provide administrative and organizational support to sales leadership and the sales team
- Organize sales meetings and trainings, including travel arrangements (booking flights, accommodation, meeting rooms, and preparing agendas and itineraries)
- Coordinate onboarding plans in collaboration with relevant internal departments and ensure support for new team members
- Liaise with internal stakeholders to coordinate activities, meetings, and cross-functional initiatives
- Support the sales team in organizing educational meetings and events with external stakeholders, including sponsorship-related activities, particularly through contract coordination
- Distribute requested materials to the sales team
- Coordinate the distribution and follow-up of contracts for international meetings and events; review invoices, payments, and delivery of agreed services
- Process and approve invoices, prepare required documentation, and ensure adherence to internal procedures and standards
- Manage and monitor budgets related to international sales activities
- Provide general office administration and serve as backup support for assistants in other departments when required
**Qualifications & Skills**
- 2–3 years of experience in an assistant, coordinator, or administrative role, preferably within the pharmaceutical or life sciences industry
- Excellent written and verbal communication skills in English and German
- Strong proficiency in Microsoft Office (Excel, PowerPoint, Word) and experience with ERP systems is an advantage
- Highly service-oriented with a professional and composed demeanor in a fast-paced environment
- Ability to manage multiple priorities and deadlines simultaneously
- Flexible and adaptable to changing business needs
- High level of accuracy and strong attention to detail
- Strong sense of responsibility, ethics, and compliance awareness
- Highly motivated, proactive, and well-organized
